Position Description: Air Force Conference Event Planner

Conference Event Planner will support Air Force Installation and Mission Support Center (AFIMSC) in executing medium to large events throughout the year, including workshops, conferences, and training events. Such events support the larger mission of the United States Air and Space Forces to find innovative solutions to tough, urgent, real world challenges.

Primary work location will be remote. Must be available to work on site in San Antonio, TX. Occasional travel.

Full-Time, Salaried position. Approximately 40 hours per work week.

Minimum Qualifications: Air Force Conference Event Planner

  • Must be a US Citizen
  • 2-5 years of experience in government event planning and/or project management
  • Ability to undergo background checks for security clearance, as needed

Desired Qualifications: Air Force Conference Event Planner

  • Bachelors degree or certification related to event planning
  • Software experience related to communications and event planning

Required Skills: Air Force Conference Event Planner

  • Proficient with Microsoft PowerPoint, Excel, and Word software
  • Experience in collecting, compiling, editing, analyzing, and presenting data
  • Communicates clearly, both orally and in writing, in English

Responsibilities: Air Force Conference Event Planner

  • Plan and execute at least three large annual innovation-related events to be hosted by AFIMSC:
    1. I-WEPTAC
    2. Innovation Rodeo (Call for Innovation campaign)
    3. Innovation Summit
  • Collaborate with other event management staff and Government personnel
  • Communicate with stakeholders, to include status reports and financial reports, meetings, emails, post-event debriefs, etc.
  • Conduct market research, scout potential venues and facilities in San Antonio, Texas (or other locations as needed), compile list of potential venues, and present options to the Government team
  • Manage all communications with selected venues and facilities to include space assessment, scheduling, financial matters, emergency planning, etc.
  • Pre-event support to include documenting work breakdown structure, overseeing agreements with venue, hosting planning meetings and stakeholder identification meetings, documenting emergency plans, etc.
  • Create and update workshop products such as graphics, agendas, name tags, certificates of attendance, awards, comment cards, feedback forms or surveys, program templates, and PowerPoint presentations
  • Coordinate audio-visual support as needed for each event
  • Communicate with event attendees and event participants such as speakers, judges, etc.
  • Track registration and attendance for each event
  • Participate in post-event activities such as lessons learned meetings, reviewing and analyzing feedback, coordinatin responses, and showing appreciation for event participants and venue support
  • Adhere to Government regulations and document templates from within AFIMSC
  • Complete all required verifications and training, such as DoD Cyber Awareness Challenge, Information Assurance (IA), Operations Security (OPSEC) Awareness training and any additional DoD, Department of the Air Force (DAF), training to maintain current operational standards [e.g., annual Controlled Unclassified Information (CUI) training]
